How Much Does Managed IT Cost in Collin County? 2026 Per-User Pricing for Plano, Frisco and McKinney Businesses

$135 to $200 per user per month is our estimate of fully managed IT cost for a Collin County business in 2026, with most landing between $150 and $175, the same Dallas-Fort Worth range whether you’re in Plano, Frisco, or McKinney. Our own plans for offices without in-house IT start at $91. The plan with on-site infrastructure work built in starts at $138.

I’m the Lead vCIO at Uprite, so a good part of my week goes into IT budgets with owners and office managers, most of them working out what they should be paying before a renewal lands on the desk. If you run a business in Collin County, you probably have 2 questions about price. Is IT cheaper up here? And does the drive from Dallas end up on the bill? Fair questions. Our page on managed IT services in Collin County covers the service itself. This one covers price.

Short answer first. There’s no separate Collin County rate, and I won’t make one up. What moves a quote here is the number of seats you’re paying for and how far a technician has to drive to reach you from the provider’s office on a normal weekday morning. Both can be measured. So I measured them.

What Does Managed IT Cost in Collin County in 2026?

Managed IT cost is the monthly fee an outside provider charges to run a company’s help desk, computers, network, backups, and security, almost always priced per user. In Collin County that fee comes straight from the Dallas-Fort Worth market, because providers here hire from the same metro labor pool and bid against the same competitors for the same clients.

The DFW rows come from our guide to managed IT pricing in Dallas and the tier breakdown in what managed IT services cost in Dallas, which also lists what sits outside the monthly fee. Both are built from the proposals we write and the competing ones prospects ask us to review. They’re estimates. Not a survey. I still trust them more than a national average, since they come from quotes for real offices in this metro.

Why isn’t there a county figure? Because the occupational wage data doesn’t go that fine. The Bureau of Labor Statistics publishes occupational wages by metro area, and Collin County sits inside the Dallas-Fort Worth-Arlington metro, so a help desk tech in Frisco and one in Dallas come out of the same pool. In May 2025 that pool paid computer user support specialists a mean of $63,030 a year, according to the BLS metro area wage estimates. Same people. Same band.

Why Your Seat Count Matters More Than Your ZIP Code

Collin County offices run small. Smaller than Dallas County’s, measured location by location. The Census Bureau counted 31,012 business establishments with paid employees in the county in 2023, and nearly 3 out of 4 had fewer than 10 people on payroll, a higher share than in Dallas County next door.

50 to 999213.0%4.2%

The counts are from the Census Bureau’s County Business Patterns 2023 county file, all industries. It’s a count of locations, not companies, so a Plano branch of a Dallas firm counts as its own establishment. MSPs count it that way. Each office gets its own network, its own printer problems, and its own drive.

The professional offices that buy managed IT are smaller still. In 2025, professional, scientific, and technical offices in Collin averaged 8.4 jobs per location, against 13.6 in Dallas County. Accounting offices averaged 6.1 against 14.9. Law offices, 4.9 against 9.2. Doctors’ offices, dental practices, and other ambulatory care, 9.1 against 15.2. Those are private-sector averages from the BLS Quarterly Census of Employment and Wages.

Seat count changes a managed IT quote in 3 ways, and none of them has anything to do with which county you’re in or which side of the Tollway your office sits on.

  1. It decides which plans you can buy. Our remote IT Essentials plan is built for teams under 12 people. IT Pro starts at 12, and it’s open to teams outside the Houston and San Antonio areas, which includes all of Collin County.
  2. It decides whether you get a volume break. In the DFW quotes we see, per-user discounts usually start at 25, 50, and 100 users, so a 15-person firm might pay $175 for a tier a 100-person firm buys at $140, for exactly the same service.
  3. It decides how thin the fixed costs get spread. Account management, documentation, and the drive to your door cost about the same whether they’re divided by 8 seats or 80.

Put the census table next to that list and you get the honest picture. Small offices pay more. A lot of Collin County offices are small enough to sit in the top half of the DFW band, or below the 12-seat line where a remote plan is the realistic fit. The $140 a 100-person neighbor mentions over lunch isn’t a number an 8-person office should expect. Different size, different math.

What Does an On-Site Visit From North Dallas Actually Cost?

Our Dallas office is at 5757 Alpha Road, Suite 530, in North Dallas. That’s Dallas County. We don’t have an office in Collin County, so most on-site visits to a Collin client start with a drive up the Dallas North Tollway or US 75, and the clock runs the whole way there and back. I wanted to know what that drive is worth in dollars. So I priced it.

Here’s the method. Check it yourself. I routed from our office to the internal point the Census Bureau publishes for each city in its 2024 Gazetteer files, using the open-source OSRM routing engine on OpenStreetMap roads, on October 26, 2026. Those are free-flow times. No traffic at all. Treat them as a floor, because a 5 o’clock run up US 75 takes longer. Then I priced each round trip with 2 public numbers. A DFW support technician’s time costs about $43.29 an hour once the $63,030 mean wage is loaded with benefits and payroll taxes, using the 1.43 ratio of total compensation to wages in the BLS employer compensation release for June 2026. And the IRS business mileage rate is 76 cents a mile for the second half of 2026.

CityRoad miles from Alpha RoadDrive time, no trafficRound trip cost, time plus mileage
Plano11.423 minutes$50
Allen17.522 minutes$58
Frisco16.824 minutes$60
Murphy16.326 minutes$62
Prosper23.629 minutes$77
McKinney26.335 minutes$90
Wylie22.337 minutes$87
Celina29.838 minutes$101
Princeton32.444 minutes$113
Anna36.446 minutes$121
Farmersville40.752 minutes$137

These are costs, not prices. Read them that way. It’s what a round trip costs whoever sends the technician, before a single minute of work happens on site. How it reaches your invoice depends on the contract.

Now spread it across seats. Say an office needs 2 on-site visits a month. That’s an assumption for the math, not a benchmark. Start with McKinney. For a 25-person office there, those 2 trips cost about $181, or $7.23 per seat per month. At 50 seats it’s $3.61. Against a $150 seat, that barely registers. Shrink the office and move it farther north, though. Then it shows. A 5-person office in Anna that needs the same 2 visits carries about $48 per seat in drive cost alone, more than half of a $91 remote seat. That’s real money.

Bar chart of drive cost per seat per month at 2 on-site visits from North Dallas, Plano 50 seats $1.99, Plano 25 seats $3.98, McKinney 25 seats $7.23, McKinney 10 seats $18.07, Anna 10 seats $24.20, and Anna 5 seats $48.40

That gap is where trip charges, minimum billable visits, and per-mile fees come from. A provider has to recover the drive somewhere. It can fold it into the per-user rate, bill it per visit, or set a minimum. Ask which way. None of those is wrong. A contract that never says which one it uses is the problem.

So is IT more expensive in Collin County? Not on the rate. On travel, it depends on your size and distance. For a 30-person firm in Plano or Frisco, the difference is hard to notice, since 2 visits a month work out to under $4 a seat on a bill measured in thousands every month. For a 6-person office out past McKinney, the drive can add $30 or more per seat at 2 visits a month, and that’s the contract where you should read the travel clause twice, slowly, before anyone signs it. That’s where it bites. Response times and how dispatch works up here are covered in our guide to on-site IT support in Collin County.

3 Collin County Offices, Priced Out

Here are 3 hypothetical offices at different sizes and distances. Round numbers on purpose. Starting prices only. Uprite figures are starting rates from our pricing page, and the DFW column applies the $150 to $175 range where most firms land. Licenses are Business Premium at $22 a seat.

OfficeSeatsUprite, monthly fromDFW typical, monthlyLicenses
Insurance agency in Prosper8$728 on IT Essentials, or $1,104 on Fully Managed IT$1,200 to $1,400$176
Accounting firm in Plano30$3,300 on IT Pro, or $4,140 on Fully Managed IT$4,500 to $5,250$660
Manufacturer in McKinney70$9,660 on Fully Managed IT$10,500 to $12,250$1,540

The Prosper agency is the hardest call. At 8 people it qualifies for IT Essentials, which is remote only, covers business hours, and caps support at 8 hours per user a month. That works for an office that lives in Microsoft 365. It’s a real option. It gets tight once there’s a server closet or a phone system the agency can’t lose for a morning, because on-site help then has to be added on top of the plan as it’s needed. Fully Managed IT adds on-site infrastructure work and 24/7 support for $376 more a month. About $47 a seat. Prosper is a 58-minute round trip from our office with no traffic, so the agency should know which side of that line it’s on before signing anything that runs for a full year or longer.

The Plano firm clears the 12-seat line, so IT Pro is open from $110 with 24/7 remote support. Fully Managed IT costs $840 more a month and adds on-site infrastructure work. That’s $28 a seat. At 30 seats in Plano, travel is about $3.32 a seat even at 2 visits a month. The real question for that firm is whether its problems get fixed from a keyboard or with hands. Hands cost more. Ask that first.

The McKinney manufacturer is past both the 25-seat and 50-seat lines where per-user rates usually step down in the DFW quotes we review, so it should ask for the per-user rate at its actual size. Shop-floor gear needs hands. Fully Managed IT is the realistic plan, and on a $9,660 base the drive from North Dallas is about $2.58 a seat a month at 2 visits. Licensing adds $1,540 at Business Premium’s annual list price, or $1,848 on a monthly subscription at $26.40 a user.

What Costs Extra Beyond the Per-User Rate?

A per-user rate runs the environment you already have. Nothing more. Several costs sit outside it, and they’re the ones that surprise people.

  • Onboarding. In our Dallas estimates, one-time setup runs from about $3,000 for a clean single office to $25,000 for a multi-site company still running old servers, depending on how much has to be cleaned up first.
  • Microsoft licensing, on top of every plan. Business Basic lists at $7 per user a month on Microsoft’s plan comparison page, and Business Premium at $22 on an annual term on its Business Premium page, both checked October 26, 2026.
  • Project work, which the Texas proposals we see bill at $175 to $350 an hour. Office moves, cloud migrations, and network rebuilds usually land here.
  • Hardware, and on-site visits on any remote-only plan.

Office moves deserve their own line in a Collin County budget. The county grew from 1,066,201 people in the April 2020 estimates base to an estimated 1,297,179 by mid-2025, a 21.7% jump, according to the Census Bureau’s county population estimates. Growing companies move. A move is a project, and it’s priced like one. Budget for it. Our IT plan for relocating to Collin County walks through what that project includes.

Remote Plan or On-Site Plan in Collin County?

This choice moves the bill more than most owners expect. Here’s how the plans line up against common office setups in the county.

Your officePlan that usually fitsStarting price per user
Under 12 people, everything in Microsoft 365, nothing on premisesIT Essentials, remote, business hours$91
12 or more people, cloud-first, rare on-site needsIT Pro, remote, 24/7$110
Servers, phones, cameras, or network gear on siteFully Managed IT, on-site infrastructure work included$138
An in-house IT person who needs depth and backupCo-Managed IT Partnership$100
An in-house IT team that wants a security layerMSSP Security Focus$40

Plans can be mixed in some cases. Our pricing FAQ allows mixing across departments or user types, so a Frisco office could keep its partners on Fully Managed IT while a back-office team sits on a remote plan. It’s a conversation. Not a promise.

One warning on the 2 remote rows. They cost less because nobody drives. If your office is 40 minutes out and something on site breaks twice a month, a remote plan plus paid visits can cost more than the plan that includes them. Do that arithmetic before you sign, using the drive-cost table earlier in this guide. Run both numbers.

What to Ask Before You Sign a Collin County IT Contract

Bring these to every proposal. Get the answers in writing. They’re what make 2 quotes comparable.

  • Is on-site work inside the per-user rate, or billed per visit?
  • Is there a trip charge to my city, and does it change past a certain distance?
  • Is there a minimum billable time per on-site visit?
  • At what user counts does the per-user rate drop?
  • How are seats added or removed in the middle of a term?
  • Does Microsoft licensing sit inside the rate or on a separate line, and is it annual or monthly?
  • What does onboarding cost, and is that number in the proposal?

Our own answers, for comparison. On-site infrastructure work is part of Fully Managed IT at the published rate, and the remote plans add on-site service when a job needs it. Every rate on our published pricing page is a starting price, with licensing on top. Your rate is locked for the first year, and the 120-day satisfaction promise lets you get out of your contract if you’re not satisfied. Both are published. Our North Dallas bench also includes the engineers from Trif Technologies, which supported businesses along the Tollway from 2000 until it joined Uprite in August 2026.

Collin County Managed IT Pricing Questions

How much does managed IT cost in Collin County?

Fully managed IT in Collin County runs $135 to $200 per user per month in 2026 by our estimate, and most businesses pay $150 to $175. That is the Dallas-Fort Worth range, since no separate county rate exists. Uprite plans start at $91 for remote support and $138 with on-site infrastructure work included.

Is managed IT cheaper in McKinney or Frisco than in Dallas?

Not on the rate itself. Providers here hire from the same Dallas-Fort Worth labor market, and BLS publishes these wages by metro area, not by county. What differs is seat count and drive time. At 2 visits a month, travel runs under $4 a seat for a 30-person Plano office and about $40 for a 6-person office in Anna.

Do Collin County IT providers charge for travel?

Some do, so ask before you sign. A contract can include on-site work in the per-user rate, bill a trip charge per visit, or set a minimum billable time. At Uprite, on-site infrastructure work is included in Fully Managed IT and added as needed on the remote plans.

What is the cheapest managed IT plan for a small Plano office?

IT Essentials, starting at $91 per user per month, is the entry-level Uprite managed IT plan for a team under 12 people. It is remote only, covers business hours with up to 8 hours of support per user each month, and uses the Microsoft Defender security stack. Licensing comes on top.

How long does it take Uprite to drive to Collin County offices?

About 22 to 52 minutes with no traffic. From our office at 5757 Alpha Road, free-flow routing puts Plano, Allen, and Frisco at roughly 22 to 24 minutes and McKinney at about 35. Anna and Farmersville run 46 to 52 minutes. Rush hour adds time, and these are drive times, not response commitments.

Is Microsoft 365 licensing included in the per-user rate?

No, not at Uprite, where every plan rate is a starting price with licensing on top. Business Premium lists at $22 per user per month on an annual subscription or $26.40 month to month, and Business Basic is $7. Ask every provider which way its quote handles it.

When does a Collin County business qualify for IT Pro?

At 12 or more employees. IT Pro is listed for teams of 12 or more outside the Houston and San Antonio areas, so Collin County companies qualify. It starts at $110 per user per month with 24/7 remote support, and on-site visits get added when a job needs hands.
