Your Microsoft 365 Bill Went Up. Your Recovery Window Did Not.

Find out what your company pays per user per month for Microsoft 365 Business Standard. The exact number, not the total on the invoice.

If it is $16.80, you are on monthly billing. If it is $14.00, you are on an annual term. Same license, same features, same tenant, same everything. The difference is twenty percent and it is a billing checkbox rather than a negotiation. Microsoft publishes both numbers on its own Business Standard page. Most Houston companies have never been shown the comparison, because nobody in the chain profits from showing it.

The base number moved as well. Microsoft announced in December 2025 that commercial prices would rise globally on July 1, 2026, and Business Standard went from $12.50 to $14.00 per user per month. Enterprise plans moved with it, E3 from $36 to $39 and E5 from $57 to $60. Existing subscriptions reprice at the first renewal after that date, which means a lot of Houston companies have not felt it yet.

So the invoice grew. Here is what did not grow with it.

Microsoft’s own Exchange Online service description states that items removed from the Deleted Items folder are retained for 14 days by default, and that an administrator can raise that to a maximum of 30 days. Not a default of 30. A maximum. A soft-deleted mailbox stays recoverable in the Microsoft Entra ID recycle bin for 30 days and then it is gone.

Thirty days is shorter than a quarter close. It is shorter than the gap between an employee leaving and the moment somebody asks for that person’s mail. And it is far shorter than the interval in which most businesses notice a file is missing, which in our experience runs three to nine months.

The Retention Gap

Microsoft Runs the Platform. You Still Own the Data.

Here is the call we take most often in Houston.

A controller cannot find a vendor folder in SharePoint. Somebody deleted it in March. It is now August. The provider checks the recycle bin, finds nothing, and says the data must still be with Microsoft somewhere. It is not. It aged out of a retention window months earlier, quietly, on schedule, exactly the way the documentation says it will.

Nobody did anything wrong. That is precisely what makes it so common.

Microsoft operates the service, keeps it available, and protects the infrastructure underneath it. What lives inside the tenant belongs to the customer, and the retention windows are short because they were designed as recovery conveniences rather than an archive. Treating them as a backup is the single most expensive assumption anyone makes about Microsoft 365.

A managed tenant closes that gap on purpose. Third-party backup running on its own retention schedule, restore tests on a calendar instead of on faith, and Microsoft Purview retention or legal hold configured wherever a regulator, an insurer, or a contract actually requires it.

The distinction lands harder in Houston than in most markets. Energy and engineering firms carry project record sets that outlive the projects by a decade. Medical Center practices answer to HIPAA retention. Companies working federal or defense contracts inherit requirements that do not care what a default recycle bin does. One pattern shows up constantly. The company owns a backup product, it was purchased three years ago, and nobody has restored anything from it since the afternoon it was installed. A backup nobody has tested is a receipt, not a recovery plan.

The Risk

Attackers Stopped Breaking In. They Sign In.

Microsoft 365 tenants are rarely breached through a flaw in Microsoft’s software.

They are entered with a working password. Somebody reuses a credential from a personal account, approves a push prompt at 6 AM to make it stop, or types their details into a sign-in page copied pixel for pixel from the real one. After that the intruder is inside as a legitimate user, and most of what follows generates no alert whatsoever.

Microsoft has been closing this door by force. Multifactor authentication enforcement for the Microsoft 365 admin center began rolling out in February 2025 and finished on February 9, 2026, covering every administrative role. A second phase covering Azure CLI, Azure PowerShell, and REST endpoints started October 1, 2025, and the option to postpone it expired on July 1, 2026. The enforcement schedule is published and it is not negotiable.

Enforcement is not a security program though. It protects the admin portal and nothing else. It does nothing about the mailbox rule quietly forwarding every message containing the word wire to an outside address, or the enterprise application somebody consented to in 2023 that still holds a valid token nobody has looked at since.

Does Microsoft back up my Microsoft 365 data?

No. Microsoft keeps the service running and offers short recovery windows, which is not the same thing as a backup. Items removed from the Deleted Items folder are retained 14 days by default and 30 days at the absolute maximum, and a deleted mailbox is recoverable for 30 days. Anything past that needs third-party backup that you own and that somebody tests.
